Agency Toolkit / Landlord retention conversations for letting agencies

Public guide · Updated 5 October 2026

Landlord retention improves when owners understand what the agency is doing, know who owns their questions and receive updates before they have to chase.

Review the relationship before calling

Check unresolved repairs, unanswered messages, recurring concerns and forthcoming decisions. Understand the owner’s stated priorities. Do not begin a retention conversation by offering a service the team has repeatedly failed to deliver.

Address the specific concern

Ask what is working and what needs to change. Summarise the issue and explain the next action, owner and timing. Distinguish what the agency controls from contractor availability, tenant choices or market conditions.

Keep the promise visible

Record commitments in the shared system and confirm them through the appropriate channel. Check completion and update the owner if the timing changes. Bring repeated concerns into the service review so retention is a team process, not an occasional rescue call.

Run a 15-minute team exercise

  1. Role-play an owner who has had to chase a repair update.
  2. Acknowledge the concern and establish the facts without blaming colleagues.
  3. Agree a clear update deadline and check that it is recorded.

Finish by choosing one change to try this week. Name the owner and review date, and use anonymised examples rather than sharing customer or employee details.

What to review next week

Review preventable departures, unresolved complaints and update commitments met. Ask for departure reasons; do not assume every lost landlord has left because of fees.

Manager guide and member resources

This public guide explains the method. Membership adds the monthly team meeting, manager notes and editable resources; the member delivery programme remains separate from these public SEO pages.
