More viewings do not automatically mean better offers. Better qualification, useful feedback and a clear next step help the team distinguish serious interest from a poor match.

Prepare a relevant viewing

Check the applicant’s requirements against the property and clarify material questions through your agreed process. Confirm attendance and allow time to understand the home. Do not use urgency or invented competing interest to cover a weak match.

Ask for decision-quality feedback

After the viewing, ask what worked, what did not and what the applicant needs to decide. “Not for us” should prompt a respectful clarification, not an argument. Record feedback in language the owner and another negotiator can understand.

Agree and own follow-up

If interest is genuine, confirm the next action and timing. If the property is unsuitable, update the applicant’s brief before suggesting alternatives. Bring recurring objections back to the marketing or valuation discussion rather than repeating the same ineffective viewings.

Run a 15-minute team exercise

  1. Review three recent viewings with different outcomes.
  2. Identify the missing information behind each decision.
  3. Write one appropriate follow-up action for each applicant.

Finish by choosing one change to try this week. Name the owner and review date, and use anonymised examples rather than sharing customer or employee details.

What to review next week

Compare attended viewings, useful feedback, offers and subsequent progression by property. Review match quality and fall-throughs alongside the headline viewing-to-offer ratio.
