Agency Toolkit / Sales negotiator job description for estate agencies

Public guide · Updated 5 October 2026

Qualify buyers, organise relevant viewings and help sellers understand feedback and the next step. State whether the role includes valuations, instructions or progression so the advert matches the actual desk.

Adapt the brief before advertising

Confirm location, working hours, basic salary, commission or bonus basis, reporting line and support. Use only requirements that are relevant to the work. Mark any missing details clearly instead of publishing an incomplete promise about earnings or progression.

Example role purpose

As our Sales Negotiator, you will take ownership of agreed customer work, keep reliable records and coordinate the next step with colleagues. You will receive a clear induction and regular review of your responsibilities.

Core responsibilities

  • Register and qualify applicants against suitable stock.
  • Arrange viewings and record decision-quality feedback.
  • Communicate offers and agreed next steps through the agency’s procedures.
  • Maintain reliable seller updates, pipeline records and internal handovers.

Evidence to look for

  • Customer qualification and clear follow-through.
  • Evidence of organised work against agreed commitments.
  • Commercial judgement without unsupported promises.
  • Local-market learning and confidence explaining property information accurately.

A practical interview scenario

A seller asks for an update after several viewings with no offer. Ask what evidence the candidate would review and how they would explain a useful next step.

First 90 days

First 30 days: learn stock, registration standards and seller updates. By day 60: manage an agreed desk with coached feedback. By day 90: review qualification, communication and pipeline quality against role expectations.

Package and success measures

State the basic salary separately from expected variable earnings. Explain the assumptions behind OTE and any threshold or guarantee. Choose a small number of quality and outcome measures relevant to this desk; activity totals alone should not define success.
